What is missed-call text back and how does it work?
Last updated · Reviewed by Jacob Campos
Short answer: Missed-call text back is an automation that sends the caller a text within seconds when you can't pick up, so the lead starts a conversation with you instead of calling the next company. Your phone system detects the unanswered call, your texting tool sends a short message from your business number, and replies land in a shared inbox or your CRM.
How it works, step by step
- A customer calls your business number and nobody answers (or the line is busy, or it's after hours).
- Your phone system or texting tool sees the missed call and triggers a text to that caller's number, usually from the same number they dialed.
- The text says who you are, that you saw the call, and asks one simple question, such as what they need help with.
- The customer replies by text. A person on your team, or an AI assistant with clear limits, picks up the thread and books or quotes.
- The conversation is logged against the customer record so nobody texts the same lead twice.
What you need to set it up
- A business number that supports texting. Many CRMs and field service tools include one, or you can use a texting platform such as Twilio.
- A trigger for missed calls. Most texting tools and VoIP phone systems have this built in; some teams build it in a no-code tool.
- US business texting registration (A2P 10DLC) for your number, which carriers require for application-to-person texting from local numbers. Your texting provider walks you through it.
- A short message and a clear rule for who answers replies, and how fast.
What the first text should say
Keep it short, name your company, and ask one question. Example: "Hi, this is Ridgeline Roofing. Sorry we missed your call, we're on a job. What can we help with? If this is an active leak, reply LEAK and we'll call you right back."
Don't quote prices, promise arrival times, or diagnose problems in the automatic text. Save that for a person or a tightly scripted follow-up.
Where it falls short
Text back doesn't replace answering the phone. Emergencies such as gas smells, sparking, or active flooding need a human or emergency services, so your text should give an emergency option. Some callers are landlines and can't receive texts, so keep voicemail on as a backup.
It also only works if someone answers the replies. A fast first text followed by a two-hour silence loses the lead anyway. Decide who owns the inbox during working hours and after hours before you switch it on.
How to tell if it's working
Track three numbers for a few weeks before and after: missed calls per week, how many of those callers replied to the text, and how many replies became booked jobs. Your own before-and-after numbers matter more than any vendor's average.

FAQ
Is missed-call text back legal?
Texting someone back right after they called you is generally treated as a response to their inquiry, but texting rules vary, and US carriers require business numbers to be registered for A2P texting. Ask your texting provider about registration, and get advice from a lawyer if you plan marketing texts.
Does missed-call text back need AI?
No. The basic version is a fixed text sent on a missed call. AI is optional, for drafting replies or asking qualifying questions, and should hand off to a person for prices, promises, and complaints.
How much does it cost?
It depends on the tool. Some CRMs include it on certain plans. On a usage-priced platform like Twilio, you pay per text segment plus carrier fees and a monthly number fee. Check current pricing on the vendor page, and see our tools page for checked prices.
