Missed call cost calculator
Last updated · By Jacob Campos
Short answer: Multiply missed calls per week by your close rate and average job value, then convert to months and years. Use it as a rough upper bound on what's at stake, not as a forecast.
The defaults are placeholders, not industry averages. Replace them with your own numbers.
How it's calculated
- Missed calls per week = calls per week × missed %.
- Jobs lost per week = missed calls × close rate.
- Revenue at risk per month = jobs lost per week × average job value × 52 ÷ 12. Per year = × 52.
Assumptions
- Every missed caller is a real prospect who would have booked at your normal close rate. In reality some are spam, existing customers, or will call back, so treat the result as an upper bound.
- It counts revenue, not profit.
- Your inputs are averages; peak seasons and storm weeks can look very different.
FAQ
How do I find my missed-call rate?
Most phone systems and CRMs with call tracking show answered versus missed calls. Pull two to four weeks of data and exclude known spam.
Is this how much I'll make with an AI receptionist?
No. It's the revenue at stake. How much you actually recover depends on how many callers engage with the tool and book. Use the AI receptionist ROI calculator with your own recovery estimate.
What close rate should I use?
Use your booking rate on answered calls from your CRM or call tracking. If you don't track it, start tracking it before buying anything.
